Cancellation, Changes & Refund Policy
At Op BASE CAMP, every experience is individually planned and tailored to the objectives of each organisation or group. From the point a booking is confirmed, we begin committing resources including accommodation, instructors, equipment, transport and local suppliers.
This policy explains how cancellations, amendments and refunds are managed fairly for both our customers and Op BASE CAMP Ltd.
This policy should be read alongside our Booking Terms & Conditions.

We understand that plans can change.
Our aim is always to work collaboratively with customers to find practical solutions wherever possible. However, because many costs are committed well in advance of travel, cancellation charges may apply depending on when notice is received.

If you need to cancel your booking, written notice must be provided by the Lead Organiser.
Cancellation will take effect from the date Op BASE CAMP receives written notification.
Telephone conversations or verbal discussions do not constitute cancellation.

Cancellation charges apply from the point your booking has been confirmed and your invoice has been issued.
More than 90 Days Before Arrival
Full refund of monies paid.
Less any non-recoverable costs already incurred by Op BASE CAMP (for example accommodation deposits, supplier charges or third-party booking fees).
Between 60 and 89 Days Before Arrival
75% of the booking value will be refunded or credited.
25% of the booking value remains payable.
Between 30 and 59 Days Before Arrival
50% of the booking value will be refunded or credited.
50% of the booking value remains payable.
Less than 30 Days Before Arrival
No refund will be available.
The outstanding balance remains payable.

We recognise that plans sometimes change.
Where reasonably possible, Op BASE CAMP will work with customers to accommodate:
Date changes.
Programme amendments.
Accommodation changes.
Group size adjustments.
Participant substitutions.
All amendments remain subject to:
Availability.
Supplier commitments.
Additional costs where applicable.

Where practical, participants may be substituted before departure.
Replacement participants must:
Meet any programme requirements.
Complete any required documentation.
Accept the Op BASE CAMP Booking Terms & Conditions.
Additional supplier costs may apply.

Many Op BASE CAMP experiences are priced according to accommodation, instructor ratios, transport and supplier commitments.
If participant numbers reduce after booking confirmation, Op BASE CAMP will review whether associated costs can reasonably be recovered.
Any refund or price adjustment will depend upon supplier commitments already made.

We understand that military units, charities, clubs, schools, universities, public sector organisations and businesses may occasionally need to amend participant numbers or programme details because of operational or organisational requirements.
Where reasonably possible, Op BASE CAMP will work collaboratively with the Lead Organiser to minimise disruption and identify practical solutions.
However, amendments remain subject to supplier commitments, availability and these Terms & Conditions.

If a participant becomes unable to attend due to illness or injury, Op BASE CAMP will work with the Lead Organiser wherever reasonably possible.
Customers should ensure appropriate insurance is in place, as refunds may not be available where costs have already been committed.

Nordic skiing depends upon suitable weather and snow conditions.
Op BASE CAMP continuously monitors conditions throughout the season and works closely with local partners to deliver the safest and highest quality experience possible.
Where necessary, we may:
Change skiing venues.
Amend daily programmes.
Adjust timings.
Substitute activities where appropriate.
These changes are made in the interests of safety and programme delivery.
Changes resulting from weather or snow conditions do not automatically entitle customers to a refund.

Op BASE CAMP shall not be liable for cancellations or programme changes resulting from circumstances beyond our reasonable control.
Examples include:
Severe weather.
Lack of snow.
Avalanche risk.
Flooding.
Wildfire.
Pandemic restrictions.
Government travel restrictions.
Airport closures.
Industrial action.
Civil unrest.
Natural disasters.
Where reasonably possible we will:
Offer alternative dates.
Offer an alternative destination.
Offer an amended programme.
Work with suppliers to minimise financial loss.
Any refund will depend upon costs recoverable from suppliers.

Occasionally we may need to cancel an experience.
Examples include:
Unsafe conditions.
Insufficient participant numbers.
Instructor illness where a suitable replacement cannot be arranged.
Force Majeure events.
Where reasonably possible we will:
Rearrange your experience.
Offer suitable alternative dates.
Offer an alternative destination.
Offer an amended programme.
Refund monies recoverable from suppliers.

Approved refunds will normally be processed within 14 days of agreement.
Refunds will be made using the original payment method unless otherwise agreed in writing.

Can we reduce participant numbers after booking?
Possibly. We will always try to help, but refunds or price adjustments depend on supplier commitments that have already been made.
Can another person attend instead?
Usually yes, provided they meet the programme requirements and complete any necessary documentation.
What happens if there isn't enough snow?
We will make every reasonable effort to amend the programme, relocate activities where practical or provide suitable alternatives. A lack of snow does not automatically entitle customers to a refund.
What happens if our organisation has to change dates?
Please contact us as soon as possible. Where availability allows, we'll work with you to explore alternative dates or programmes.
How quickly are refunds processed?
Approved refunds are normally processed within 14 days of agreement.
